It is a major task to add a field to an existing data file. You have to change the source, compile the new file, copy the old file into the new format, and compile every single program that uses it. That last option can be virtually impossible when it comes to a file that is used a lot; like an ASW file. The only feasible option is to build an extension file. That works if you are adding a bunch of related fields, but what if you are only adding one? We have ‘user defined file’ for partners, items, and sales orders. We assign a description and data type for the field we want, and add it.

The ‘element name’ is written to file ITUSDAP to identify the data in the record. By using a table, the user selects an option from that table instead of keying something in. (See the [[UWD Tables]] for information). There are four fields on the record; we select which one this data will use. ‘Alpha’ is a ten character field, ‘Date’ is century / year / month / day, ‘Number’ is 15 digits with 4 decimal places, and ‘Long Alpha’ is 256 characters.

The information here is written to file UDELMAP in library RCSUTILPRD. InfoNet item maintenance reads it to control the entry of user defined fields.
