A/R Customer Statements

  • Under option - enter 2
  • Click enter
  • Under option - enter 1
  • Click enter
  • Under option - enter 1
  • Click enter
  • Under option - enter 7 (statements)
  • Click enter
  • After statements have been completed, enter 11 (View Statement Control Periods)
  • Click enter

Show List of A/R Statements Control Periods

  • Under the period you wish to generate an A/R EFT batch - enter EG
  • Click enter
  • The control period must be status FI finished, and the EFT Status must be IP in process.

  • To print the generated batch - enter EP
  • Click enter
  • The control period must be status F1 finished, and EFT Status must be IP Process.
  • The report is sent to the user’s work with printer output spool files.
  • Retrieve it and change printer queue to print.
  • To edit the generated batch - enter EE
  • Click enter
  • The control period must be status F1 finished, and the EFT transactions can be in any status
  • Make sure all changes are made!

Show List of EFT Transactions

  • You can use the ‘Customer’ and “Statement Number’ select fields to list the selected transaction only.
  • You can use the fields in the upper right hand corner to select groups of transactions, i.e. negative EFT amounts.
  • Transactions can be deleted with the PU purge option.
  • Click F6 to add a customer not listed
  • MA main info will allow you to change the A/R payment mode or the amount.

Update EFT Transactions

  • You can use ? To prompt for A/R payment modes that are valid for the customer (i.e. another EFT account)
  • You can change the amount
  • Click F12 twice to get back to A/R Statement Control Periods panel

Show List of A/R Statements Control Periods

  • After the payment proposal has been reviewed, print the generated batch again after making any changes- enter EP
  • Click enter
  • The report is sent to the user’s work with printer output spool files.
  • Retrieve it and change printer queue to print.
  • Go to Credit Card &EFT Reconciliation worksheet and enter reconciliation amounts (superesrver/accounting/common/ar/2012-2013/Customer Payments/Credit Card & EFT Reconciliations). *Enter Customer Statement Summary and any individual statements regenerated after statements have been printed.
  • Review full Customer Statement Summary and review all credit balances and enter any missing ones on reconciliation worksheet.
  • Attach a label onto the last page of the report and place it into the yellow folder before forwarding it to the Manager, Finance for approval.
  • Note 2 signing officers are required to sign the payment proposal.
  • To Generate EFT Credit Postings
  • After the payment proposal has been approved, to export the EFT credits - enter <EC>
  • Click enter
  • This will create a CIBC EFT transaction file, and write it to the folder EFT (in the 525’s IFS) to be sent to CIBC via their Business Banking web site.
  • The control period must be status F1 finished, and the EFT Status must be IP in process.
  • AR transactions created and written to SROKBP; G/L transactions are created and written to SROIBT. The G/L interface file will be automatically posted to ASW.
  • Enter the due date which should be either the 16th or 01st of each month
  • Click enter

A/R Batch Payment Update

  • Enter the voucher type 27 (EFT A/R)
  • Enter the document type EFT
  • Enter the identity PY
  • Change the printer queue lp05
  • Click enter
  • This will run in batch, so go to “Work with Messages” and make sure there are no errors and the batch has been posted. If the batch has not be posted properly, the cash book posting will not be created correctly.
  • If you get a message saying there was an error, ask Nancy and if Nancy is not available ask IT to correct it and repost in “Work with Journals in Errors”
  • The report is sent to the user’s work with printer output spool files.
  • Retrieve it and change printer queue to print.

Show List of A/R Statements Control Periods

  • After the credit payment proposal has been exported, to update cashbook - enter E1
  • Click enter
  • This will add a record to the cashbook transaction file, and update the cashbook bank balances.
  • The control period must be status F1 finished, and the EFT Status must CR EFT done.
  • AR transactions crated and written to SROKBP; G/L transactions are created and written to SROIBT. The G/L interface file will be automatically posted to ASW.
  • Enter the due date which should be either the 16th or 01st of each month
  • Click enter

Enter into Control Worksheets

  • If the EFT payment proposal has been approved, the Manager, Finance will upload EFT file to CIBC
  • Update the control worksheet (superserver/accounting/common/ar/2012-2013/customer payments/EFT Confirmations and Rejections/CIBC-0100033237-0100023576-Upload Batch Control Log (Feb 01-Jan 31 2013),
  • Manager, Finance will print CIBC EF#3501 Input File Totals Report (the day after upload to CIBC) and file.
  • Prepare EFT Debit Reconciliation worksheet
  • Go to Credit Card &EFT Reconciliation worksheet and enter reconciliation amounts (superesrver/accounting/common/ar/2012-2013/Customer Payments/Credit Card & EFT Reconciliations).
  • Enter Customer Statement Summary and any individual statements regenerated after statements have been printed.
  • Deduct any accounts paid by credit card but on Customer Statement Summary report.
  • Remove Somass Drugs (will call when ready to pay via EFT)
  • Remove Tabor Pharmacy and re-enter new amount after calling Samy to find out the amount is he paying.
  • Medicine Chest should automatically be removed and remaining balance entered.
  • Remove MacDonald’s Pres #3 if they are paying by credit card (month end only)

  • After statements have been completed, enter 11 (View Statement Control Periods)
  • Click enter

  • Retrieve it and change printer queue to print.

Create Manual EFT Batch

  • To Create a manual batch - click F6 to add
  1. Enter Statement Type EF
  2. Enter Period Id. (enter the last EFT batch number)
  3. Enter Start and End Date (use current date)
  4. Enter Run Type M
  5. Enter Timing NA
  6. Enter Status FI
  7. Click enter
  8. Click F12

  • Enter Type EF to show only manual batches
  • Enter EE to edit batch
  • Click enter
  • Click F6to add a customer not listed
  1. Enter A/R Payment Mode EFT
  2. Enter Customer
  3. Enter EFT Amount (enter negative for EFT credit)
  4. Click enter twice
  • Click F12 twice
  • Continue with the same process as if this batch had been generated from statement.
  • Go to FIN/AR/EFT/AUTO/12 for EFT credit (if the manual EFT is not a credit – you still need to run EFT credits but it will have no transactions)
  • Go to FIN/AR/EFT/AUTO/17 to run EFT debit

Enter into Control Worksheets

  • Update the control worksheet (superserver/accounting/common/ar/2012-2013/customer payments/EFT Confirmations and Rejections/CIBC-0100033237-0100023576-Upload Batch Control Log (Feb 01-Jan 31 2013).
  • Forward documents to Manager, Finance who upload the EFT file to CIBC
  • Manager, Finance will print CIBC EF#3501 Input File Totals Report (the day after upload to CIBC) and forward to A/R Co-ordinator for filing
