Information Systems:Mailbox migration using EdbMails

This page documents the steps to migrate a mailbox using EdbMails. These instructions are specifically for migrating Domino mail files to Microsoft/Office 365, but the tool can be used for other types of migrations.

Instructions

• RDP into lab-pc. The single software instance we are licensed to is installed here.
• Export the desired NSF file from Domino. One way is to use i Access Client Solutions (IFS browser), navigate to the Domino\mail folder, and download the file. Currently, LAB-PC is low in storage, so exporting to a location on superserver is recommended. Take caution where this file is exported to - this is someone's mail file...
• Open and sign-in to EdbMails: (username/password found here)
• Choose the only migration tool that specifies NSF
• Choose the NSF file exported earlier. It will prompt for a password. Enter yours, not the user's.
• Once the mail file is loaded, specify the folders to be included on the left. It is highly recommended to uncheck All (this will create an All folder with a second copy of each document in the Inbox, Sent etc.). There are also "folders" such as (Rules) and (Group Calendars) that are largely unused and can be excluded.
• Once folder selection is complete, choose Export to 365.
• Sign in as a global administrator. This signs in to 365 in impersonation mode, which is the optimal method (regular users may be subject to bandwidth throttling or have insufficient permissions)
• When prompted, choose to load mailboxes automatically. This retrieves a fresh list of available mailboxes from the server.
• Map the NSF mailbox to the O365 mailbox as shown below. Make sure to choose Migrate as the Action.
• Prior to proceeding, set any filters necessary. These filters take effect for future migrations, so remember to check them each time. For the initial migration, a Date filter of "Items received 'After Date'" is specified.
• Queue up more NSFs if needed, mapping them to the appropriate mailboxes.
• Proceed with the migration.

Misc Notes

• Domino admins should be able to access all mailboxes, but I've run into an issue before where I couldn't access until I toggled Full Administrator Mode in Domino Administrator. This may have implications on the migration of such mailboxes, since it uses the id of the local Notes instance. -norwizzle (talk) 14:43, 28 January 2021 (PST)
