Information Systems:Migrating contacts from Notes to Outlook

Many users will have an extensive list of entries in their Contacts or Recent Contacts. They can be migrated using CSV export/import:

  • In Notes, first move any Recent Contacts to be migrated into Contacts. To do this, drag or use the "Move into Contacts" button while within Recent Contacts.
  • Within Contacts, choose More -> Export, then CSV as the output. Use the wizard options to tailor your export.
  • In Outlook: File -> Open -> Import/Export -> Import from CSV.
  • Ensure that the destination is the Contacts folder for your work email/account (if you have multiple accounts configured). Also, it should go into the root Contacts folder (and not any of the subfolders).
  • Next, click Map Custom Fields to enter this screen. The email fields between the 2 programs do not get auto-mapped, rendering the import useless if this is not configured manually (unless you want just the phone numbers/addresses/names, fields that do get auto-mapped). Therefore find and drag the Business Mail field on the left to the field called Email address on the right to create this mapping, replacing any existing below, as shown in the right pane below:

  • Create additional mappings through the same method (e.g. secondary or tertiary email fields).
  • Make sure to allow duplicates, as this utility appears to crash if Replace duplicates is chosen.
